What is Transtrac?

Transtrac is a web-based application which allows any organisation or individual who does business with any other organisation or individual to see those transactions on a secure server.

How does an organisation or individual use Transtrac?

Anyone can view invoices sent to them through Transtrac without being a registered User. To view a summary of transactions an organisation or individual becomes a registered User of Transtrac. An email address, password and security question allows the User to login to the Transtrac servers.

What information will a User see?

A User will see their customers on the left of the overview page and their suppliers on the right of the overview page. Further pages display detailed transactions with each supplier or customer including a link to the detailed invoice/credit note if it is has been uploaded.

Who uploads information to Transtrac?

Suppliers upload financial transactions about their customers and customers can view this information by logging into their Transtrac account. Each User of Transtrac can be a customer and/or a supplier of other Users.

How secure is Transtrac?

Transtrac servers are housed in a secure server facility and are fully maintained and patched by Transtrac’s own staff.

How is the information uploaded to Transtrac?

There are three ways to load information into Transtrac, depending on the User’s account type. These account types are Freelancer, Small Business and Enterprise.

What is Freelancer?

Freelancer is aimed at individuals and very small enterprises. A Freelancer User adds customers and creates invoices directly on the web page. A PDF invoice is created and emailed to the customer. The transaction is displayed in the normal way on the Transtrac pages.

What is Small Business?

Small Business is aimed at businesses using standard accounting software. Information is uploaded by using “connector” programmes written by Transtrac. Once uploaded, the information is automatically displayed in the standard Transtrac format.

What is Enterprise?

Enterprise is aimed at Users of bespoke financial systems that may be part of a much larger business control system. These may or may not be industry dependant. Transtrac will contract to write link programmes to these specific systems so that the information is uploaded automatically to the Transtrac servers. Again the information is displayed in the standard Transtrac format.

Does it matter which system I am using?

Transtrac is a generic platform that displays accounting information in a standard format. It does not matter how the information is uploaded; it is displayed in the same way for all Users.

Can I tailor Transtrac to my own needs?

Suppliers can customise ledger information and invoices with logos and templates. Transtrac may hold information for Enterprise Users on individual servers which are tailored to that User. However Transtrac will always be able to link this information to other Transtrac servers to maintain the customer/supplier relationship.

What happens if I trade outside my own country?

Transtrac is working on a multicurrency enhancement. The objective is to display transactions in the currency of both the supplier and the customer. This will be available early in 2009.

What does Transtrac cost?

Customers can always view their ledgers at no charge. Suppliers pay depending on how they upload information to Transtrac. Freelancer is charged on a monthly subscription. Small Business is charged on a transaction basis. Enterprise is charged on a contract basis agreed with each individual User.
